Bolder AI Powered Care helps medical assistants and physicians manage patient visits. During an exam you can record audio, which is automatically transcribed, and record vitals and the chief complaint. After the visit, processed outputs — a patient summary, SOAP note, exam findings, and suggested billing codes — are available to view, copy, and print.
Transcription runs entirely in your browser. The audio is turned into text on your own device and only the text is uploaded — the recording itself is never sent to Bolder AI Powered Care.
Everything Bolder AI Powered Care generates — the note, the summary, the findings, the codes, and the guidance — is a draft for the treating clinician to review and edit before it is signed. The software does not practice medicine, and nothing it produces is a diagnosis.

During a trial with no EMR connected, Bolder AI Powered Care is the only place a visit's information lives, so we hold it within 7 days rather than within 24 hours. Once your EMR is connected, finished notes are filed to the chart as the permanent record and our temporary copy drops back to within 24 hours. Longer retention can be arranged during integration. See Data & privacy below for the full policy.
Normal, integrated operation
Your practice's EMR is the system of record. The official, permanent patient record is retained there and is not affected by Bolder AI Powered Care's deletion schedule. Once connected, the temporary copy is deleted within 24 hours instead of within 7 days, and everyday use is the walkthrough in “Using the dashboard” below.
There are three ways to get access, depending on how your practice is set up:
Inside an organization, your role controls what you can see and do:
Pricing is per practitioner. Each practitioner's 7-day free trial starts when their account is created or their practitioner role is assigned, so someone added later gets their own full trial.
Support staff accounts are included at no additional charge. Organization administrators, medical assistants, and medical receptionists never count toward your practitioner total.

An organization administrator can see the current count in the Organization section of Settings, where every member row shows whether it occupies a billable seat. Deactivating a member frees their seat; their record is kept for the audit trail. Billing questions go to support@bolder-i.com.

Sign in or create an account
Create a personal account, register an organization, or accept an invitation from your clinic — confirm your email with the code we send, then sign in. Your role determines what you can access (see “Accounts, organizations & roles” above).
Open a patient
Search the patient list on the dashboard and select a patient to open their detail view.
Record the exam
Use Start Exam Recording to capture audio. Each clip is saved and can be played back immediately; its transcript is added automatically a moment later. The recording is never uploaded. Bolder AI Powered Care has no way to receive an audio file: the audio is turned into text on your own device, and only that text is sent to us.
Enter vitals and chief complaint
On the Overview tab, fill in vitals and the chief complaint, then Confirm to save them for the visit. Confirming is also what opens the Exam Checklist and Differential Diagnoses tabs — both are built from the saved chart — so do it at the start of the visit if you want them during the exam.
Review results
Open the Results tab to view the processed summary, SOAP note, exam findings, and billing codes. Use Copy, Copy all, or Print. Note generation usually finishes a minute or two after checkout, and can take longer for a long visit. Press Refresh to check again.

In the Organization section, administrators can:
Exam audio is recorded by your browser and stays on the device you recorded it on. Each clip is held in that browser's local storage, where you can play it back or delete it.
Speech-to-text runs on your own device, inside the browser, using a Whisper speech-recognition model that Bolder AI Powered Care loads into a background worker. There is no transcription server and no speech-to-text vendor involved. The recording is never uploaded. Bolder AI Powered Care has no way to receive an audio file: the audio is turned into text on your own device, and only that text is sent to us.
The first time a browser transcribes, it downloads the speech-recognition model files from the public Hugging Face model hub and caches them for later visits. That is a one-way download of the model itself — no audio, no transcript, and no patient information is sent with it.
What reaches Bolder AI Powered Care is text: the transcript of each clip, the vitals and chief complaint you enter, and the patient and encounter identifiers the visit is filed under. These travel over an encrypted connection to our AWS US West (Oregon) environment, where checking the patient out hands the transcript and visit context to Amazon Bedrock to draft the note, summary, exam findings, and suggested billing codes.
Because the recording never reaches us, it is not on our deletion schedule — and we cannot retrieve or restore it. It stays in the browser that made it until the clip is deleted or that browser's site data is cleared, and it is not available from another browser or another device.

The clip is marked as failed, no text is sent for it, and nothing from it reaches the drafted note. Record the passage again to add a transcript, or continue without one; if no clip in a visit produced a transcript, there is nothing for checkout to process and the Results tab stays empty.

Deletion is automatic — no action is needed. Anything you want to keep outside the EMR should be saved now — use Copy on a single section, or Copy all / Print for the whole visit.
The recording is not part of what Bolder AI Powered Care holds or deletes — it never leaves your browser. What is deleted on that schedule is the text we received: the transcript and the drafted output. Recordings & transcription above has the detail.
Account information and the HIPAA access log are kept separately from visit data and are not on this clock; where an account is closed, records we are required to preserve are retained rather than erased.
For safety on shared devices, you're automatically signed out after a few minutes of inactivity. A warning appears first with a “Stay signed in” option, so it's never a surprise mid-task.
I recorded audio but there's no transcript.

Transcription happens on your own device, so the usual causes are local: a first-time model download that was blocked or interrupted, a browser that does not support it, or a very long clip. Contact support if it keeps happening.

My clips are missing on another computer.
Because the recording never reaches us, it is not on our deletion schedule — and we cannot retrieve or restore it. The Results tab says the visit is still processing.

The Exam Checklist and Differential Diagnoses tabs are greyed out.
Both tabs are built from the visit's chief complaint and vitals, so they open once you have entered those on the Overview tab and pressed Confirm Vitals & Chief Complaint. Hovering a disabled tab says the same thing. Only the saved chart reaches them — typing into Overview without confirming leaves both tabs where they were.
How long is patient data kept?

Does my practice lose the medical record after 24 hours?
No. What Bolder AI Powered Care holds is a temporary working copy — the transcript and the drafted output for a visit in progress. It is deleted automatically, and deleting it never removes anything from your EMR. The chart in your EMR is retained by your practice under its own medical-record retention policy, for as long as that policy requires.
I keep getting signed out.
For HIPAA safety on shared devices, the app signs you out after a few minutes of inactivity. A countdown warning appears first — click “Stay signed in” to keep working. If it happens during a recording, recording activity keeps your session alive.
How do I add someone to my clinic, or change their role or password?
Organization administrators manage the team from the Organization section of Settings (the Settings link in the dashboard header): invite members by email, assign or change roles, reset a member's password, and deactivate or reactivate members.
How do I deactivate my account or delete my organization?
Both are in Settings, in different sections, because one affects only you and the other affects everyone. Your account has the actions that end your own access — deactivate account, leave organization. Organization has delete organization, for administrators only. Both disable sign-in but retain your medical records as required by law, so they're reversible — email support if you need one restored.
The Copy button doesn't do anything.
Copying to the clipboard requires a secure connection (HTTPS). If you're on an insecure connection it may silently fail — use Print, or contact support.
I can't sign in or didn't get my confirmation code.
